Membership Roster Report

This report displays all client memberships. You can use this report to assess the number of clients categorized as new or existing members, the specific types of memberships each client holds, the membership status, generated revenue, and the duration of the membership contract.


Things to Know:

  • This report can be accessed from both the parent and child level
  • For pet businesses, the report will show the word “deceased” in parentheses next to the name of the pet that was marked as deceased


To access this report:

  1. Navigate to Dashboard
  2. Select the Reports tab
  3. Under the Clients section, select the Membership Roster report

When the report loads, you can filter by a specific location, staff, status, date, and member type (new or existing). You can also export the report as a CSV, PDF, or print version. Once you have selected your filters, click on the UPDATE button to generate the desired data.


Report Filters


FilterDescription
LocationThe location where the membership was purchased
StaffThe staff member chosen in the commission filter during the purchase of a membership ticket
StatusThe status of the client's membership, such as active, paused, cancelled, etc
Date 
Purchased DateThis range determines the date when the ticket for the membership purchase was closed. If no ticket was created, it defaults to the date when the membership was added to the client's profile. 
Member

The member filter allows you to filter by:

  • All Members
  • New Members
  • Existing Members

When you filter by Existing Members:

  • Clients will appear as existing members when you filter by any date after the membership was purchased
  • If the membership start date is in the future, clients will appear as existing members on any date after the membership start date  
  • Clients with suspended memberships will be shown as existing members
  • Clients with frozen memberships will be shown as existing members

When you filter by New Members:

  • Clients will appear as new members when you filter by the date when the membership was purchased
  • If the membership start date is in the future, clients will appear as new members on the membership start date    


Report Columns


ColumnDescription
NameThe name of the membership
ClientThe name of the client who purchased the membership

Email

The email address for the client
Phone NumberThe phone number of the client
AddressThe address of the client. The visibility of this column is controlled by a hidden setting that only the MyTime team can enable. To enable the hidden setting, please contact our Support Team at support@mytime.com.
Date of BirthThe date of birth of the client. The visibility of this column is controlled by a hidden setting that only the MyTime team can enable. To enable the hidden setting, please contact our Support Team at support@mytime.com.
Autopay AmountThe price of the membership before discount
Cumulative RevenueThe price of the membership after discount + monthly membership fees
LocationThe location where the membership was purchased
Purchase DateThe date the membership was purchased
Start DateThe start date of the membership
End DateThe end date of the membership
Cancellation DateThe date the membership was cancelled 
Last Bill DateLast date the membership fee was charged
Next Bill DateNext date the membership fee will be charged
Billing Cycle The day of the month on which the membership fee will be charged. Membership fees can be scheduled to be charged on a specific day of the month or based on the date of purchase.
Auto Renew

Indicates whether the membership will automatically renew after the initial period has ended. Options include Yes and No.

Status The status of the client's membership (active, paused, cancelled, etc.)
