Cancellation Policy Settings

MyTime allows you to enforce cancellation fees if a customer fails to cancel within a pre-designated window. Cancellation policies for classes and events can be set up on the individual classes/events. To edit these, go to Class Setup and choose a class. In this article, we will look at the meaning of each option under the Cancellation Policy section on the Settings page.

How far in advance must clients cancel their appointment?

Configure your cancellation policy according to your preferences. You can choose:

  • Up until appointment: Clients can cancel any time before the start time.
  • Never: Disables the client's ability to cancel online entirely.
  • Custom: Set a specific number of minutes, hours, or days required for notice.

Enforce Cancellation Fee

If a client fails to cancel an appointment in advance, should MyTime charge them?

 If enabled, clients must provide a credit card to hold their booking. You can choose to charge:

  • Full amount of the appointment.
  • A percentage of the appointment value.
  • A flat fee (a set dollar amount regardless of the service).

Cancellation Reasons

If enabled, you can require staff to select a cancellation reason when canceling appointments. This setting applies only to cancellations made by staff members.

When canceling an appointment or removing a client from the waitlist, staff will be prompted to choose a cancellation reason. The selected reason will appear in the Cancellation Report.

You can add new reasons by clicking the + Add link.

Enter a custom message to be displayed during the online booking process, ensuring clients are aware of your terms before confirming their appointment.
