Reopen Closed Purchase Orders

MyTime allows you to reopen a purchase order and set a limit after it has been closed. This article will guide you through the process of reopening a purchase order.


Things to know:

  • The ability to reopen a closed purchase order is governed by a hidden setting that can only be enabled by the MyTime team. To enable this hidden setting, please contact our Support Team at support@mytime.com.
  • The capability to reopen purchase orders is also linked to the "Manage Purchase Order" access control setting.
  • The default setting allows a purchase order to be edited within 30 days after closure. However, this duration is customizable, and you can adjust it to a period shorter or longer than 30 days.
  • When a purchase order is reopened, its status will automatically update to "Ordered."
  • You can filter purchase orders by status using the Purchase Order Status dropdown filter on the Purchase Order page. This feature allows users to easily sort POs by a specific status. The available options include:
    • All Statuses
    • Draft
    • Ordered
    • Requested
    • Checking In
    • Completed
    • Canceled


Once the hidden setting is enabled, to reopen a purchase order:

  1. Navigate to POS > Inventory 
  2. Select Purchase Orders from the left panel
  3. Locate a closed Purchase Order
  4. Select the View button

  6. Confirm the action

7. Make the necessary edits and complete the Purchase Order

Editing Reopened Purchase Orders

There are a few changes that can be made to reopen purchase orders. These are:


PO #: You can change the PO# by clicking the hyperlinked number next to it. This will bring up a pop-up modal where you can make the changes.

After making the desired changes, click on "Save" to apply the modifications.


Invoice ID: To modify the Invoice ID, click on the hyperlinked number adjacent to it. This action will open a pop-up modal, enabling you to make the necessary changes.                                                                                                                                                                                                              

After making the desired changes, click on "Save" to apply the modifications.


Cost: To adjust the cost, click on the hyperlinked cost. This action will open a pop-up modal, allowing you to make the necessary changes.                                                                                                                                                                                                                                                                                                                                                 

After making the desired changes, click on "Save" to apply the modifications.


Shipping Fee: To adjust the shipping fee, simply click on the hyperlinked words. This action will prompt a pop-up modal, allowing you to make the necessary changes.                                                                                                                                                                                                               


After making the necessary modifications, you can proceed to check in the order by clicking the "Check In Order" button located at the top right-hand corner of the page.

Subsequently, this action will alter the status of the purchase order to "Checked In." On the checked-in page, you can include products, apply discounts, and modify the cost and price before finalizing the check-in process. Learn more here.
