On the Staff & Availability page, you can choose to manually create each staff member's profile or send them an email invitation to set up their own. This article explores both methods to help you get your team onboarded quickly.
Things to know:
- The ability to add or invite new staff members is governed by the 'Accessing Staff & Availability' access control setting
- When manually adding a staff member, the system automatically assigns them to a location based on your current view:
- Multi-Location Accounts: The location currently selected in your dashboard filters on the Staff & Availability page will be the one assigned to the new profile. Example: if your business has three locations (Downtown, Midtown, and Uptown) and you are filtered to Midtown when adding a staff member, Midtown will automatically be assigned to their profile.
- Single-Location Businesses: The location is selected by default, as there are no other options to choose from.
- Invited staff will receive an automated email from MyTime with instructions on how to create their login credentials and access the system.
- Staff members who receive an invite can sign up using an email and password, Google, or Apple.
- For profiles created manually in-store, a valid username (or email) and password must be set within the staff profile before the first login.
- If a staff member signs up using Google or Apple, the credentials (email address) must exactly match the information stored in their MyTime staff profile.
- Matching Credentials: The accounts will sync, granting the staff member access to the business' MyTime account.
- Mismatched Credentials: A separate, personal user account will be created. This account will not be associated with the business, and the staff member will be unable to view the schedule, etc.
- New profiles are automatically assigned the "Service Provider" role by default. You can update roles and specific permissions at any time after the profile is created.

Manually Add a Staff Member
To manually create a profile for a new team member, follow these steps:
- Navigate to Business Setup > Staff & Availability
Click the ”+Add Staff Member” option
In the window that appears, enter the staff member’s details (name, email, etc.). Note: The Service Provider role is checked by default, but you can adjust this as needed.
If you prefer not to wait for the staff member to complete their own setup, you can generate their credentials directly by selecting the "Set Password" option > Create a unique password for the staff member
Save the profile.
By using this method, the staff member can log in immediately using the email and password you provided, rather than going through the email invitation process.
Invite Staff Members by Email
Using the email invitation method allows you to invite multiple staff members at once, letting them manage their own account setup.
- Go to Business Setup > Staff & Availability
- Select the “Invite Staff by Email” link at the bottom of the page
- In the modal that appears, select a location.
- Enter the email addresses for staff member(s). This option will allow you to invite multiple staff members at the same time. Ensure that the emails are separated by commas.
- Click 'Send invitation'
- Upon receiving the invitation, the staff member should, click on the “Join the Team” button

- Choose a preferred sign-up method
- To use email and password: Enter the name, email and password then click on the 'Create Account' button
- To use Google: Click 'Sign up with Google' then enter your Google credentials
- To use Apple: Click 'Continue with Apple' then enter your Apple credentials.

- Once the account is created, the staff member will be automatically directed to the Staff & Availability page.
