Staff Profile Overview

The staff profile provides access to key information, including the staff member's profile picture, contact details, gender, title, and access levels. You can manage passwords, calendars, and service assignments, as well as set up commission structures for services, classes, packages, memberships, gift cards, and products. Additionally, you can assign locations and work hours, enable or disable online booking for the staff member, and configure their appointment notification preferences.

Features Description
Staff Profile Picture Here, you can add, remove, or update the staff member's profile picture. The photo will be visible on the schedule in-store , as well as to clients on the guest app and booking widget.
Display Name This is a mandatory field. The display name represents the staff member's shortened name or nickname and will appear on the booking widget, scheduler, POS, and throughout the software, except in reports. Learn more here
Legal Name This field is optional. The legal name is the staff member's full name and is displayed in the staff filter within reports and on the Dashboard. Learn more here
Title You can assign a title to staff based on their job responsibilities and skills. Learn more here
Gender

You can assign the gender based on the options configured under Business Settings > Settings. You should also mention where the gender will be visible. Learn more here

Email/Username

You can add or update a staff member's email address or username here. When modifying login details from your profile, you can change your email address to a username, but not the other way around. Learn more here

Password You can set or reset staff passwords, and you have the ability to enforce strong password policies, including defining a minimum password length for your business. Learn more here
Access Level Assign access roles to staff members, which define the permissions and capabilities available to them within the system. Learn more here
MyTime Scheduler The MyTime Scheduler will display only your available time slots and will automatically update your calendar when customers make bookings.
Sync External Calendar Sync your Google or Outlook calendar to prevent overlapping appointments in MyTime with events already scheduled in your external calendar. Learn more here.
Services Services can be assigned or unassigned for staff members who have the Service Provider role enabled in their profiles. Learn more here.
Track Compensation To track a staff member's compensation, check the corresponding checkbox. This will allow the system to calculate their compensation, and the details will be included in the compensation report. If the checkbox is not selected, compensation cannot be configured for the staff member, and they will not appear in the compensation reports.
Payroll Type You can set staff compensation as either hourly pay or salary. For salaried staff, you can assign a daily rate or a per-pay-cycle salary, with daily pay determined by scheduled, custom, or clocked hours. Hourly pay is calculated based on clocked-in hours, requiring staff to use the clock-in/out feature. Learn more here
Wage The wage applies to productive time and qualifies for product and service commissions. You can set the overtime rate, specify when overtime begins, and define the pay rate for each hourly work type. Additionally, you can configure a base pay that applies regardless of the hourly work type the staff member clocks into (this is only applicable to paid work types). Learn more here
Service Commission You can configure or update the compensation structure for services performed by the staff. Learn more here
Class Commission For businesses that offer classes and events, you can set up or update staff compensation based on class participation and attendance. Learn more here
Product Commission

You can configure or update the compensation structure for products sold by the staff. Learn more here

 

Membership Commission

You can configure or update the compensation structure for memberships sold by the staff. Learn more here

Package Commission

Gift Card Commission

Location and Hours You can assign or remove staff members from specific locations and set their work hours. Service providers must be assigned to at least one location in order to appear on the schedule and accept bookings. Learn more here.
Allow Online Bookings?

This setting controls whether staff members are visible online for clients to book appointments.

Appointment Booking Notifications Decide if staff should receive booking notifications. You can choose to send notifications via email and text message, or opt for email-only or text message-only notifications. Learn more here
Bookings Per Time Slot Specify the number of appointments each staff member can accommodate at a time. Learn more here
What Makes You Different? Provide a description of the staff member’s unique skills and traits that distinguish them. This information helps clients understand what makes each staff member special, enabling them to make informed decisions when booking services online. Learn more here
Where Did You Receive Your Training? 

In this section, you can include a description of the staff member’s training background, detailing the level of training they have received and where it took place. This information is crucial as it builds trust with clients by showcasing the staff member’s qualifications and expertise. Learn more here

Delete Staff Member If a staff member has resigned or been terminated, you can delete their profile by clicking the "Delete Staff Member" hyperlink, while retaining their historical data. Learn more here
Duplicate By clicking the "Duplicate" hyperlink, you can create a new staff member profile that inherits the same access level to the system, identical work schedules, the same services offered, and the same compensation setup. You can also make any necessary adjustments. Learn more here
