You can minimize the possibility of you accidentally scheduling new appointments in front of clients who are waiting, by allowing waitlist appointments to appear in the scheduler day view. In this article, we will guide you through the steps of configuring your account to add clients to the waitlist and display waitlist appointments in day view on the schedule.
Things to know:
- This feature is controlled by the "Display waitlist appointments on Day View" setting that can be enabled on your Settings page.
- Any client added to the waitlist will appear as a striped block on the selected staff member’s schedule for the next available appointment slot. This reserved slot will not interfere with online or in-store booking availability.
- If a previously scheduled client cancels, the waitlist appointment will automatically move to the newly available appointment slot. For example, if a client was scheduled for 1 pm and the next available slot was 5 pm, and the 1 pm client cancels, the waitlist appointment will now appear in the 1 pm slot.
- If an appointment is booked for the same time slot as a waitlisted appointment, the waitlisted appointment will be shifted to the next available time slot.
Configuring Waitlist Appointments in Day View
Log into your account:
- Navigate to Business Setup > Settings
- Scroll down to the Calendar section
- Toggle the "Allow Clients To Be Added To Waitlist?" setting to "YES"
- Additional fields will then appear. Toggle the "Display Waitlist Appointments On Day View?" setting to "Yes"
- Click "Save"
Scheduling Waitlist Appointments in Day View
Once the settings are enabled:
- Navigate to the Schedule
- Click the +Open Waitlist button on the left side of the schedule. This will open the waitlist modal

When the waitlist modal opens, click the "+Add Client" button to add a client to the waitlist
- The "Edit Client in Waitlist" modal will appear. Add the client, select the service and preferred staff member, and then save
- The client will be successfully added to the waitlist, and you will be able to view the appointment on the "Current Waitlist" Modal
- Click "Close" to close the modal
- The waitlist appointment will be displayed in a striped block on the selected staff member’s schedule for the next available appointment slot
- The appointment will be in a "Waiting" status. The reserved slot will not block online and in-store booking availability
- When a slot opens up, you can click on the waitlist appointment and start the service
- The appointment status will change to Checked-In and the client will be removed from the waitlist .
Once the appointment is complete, you can change the status of the appointment to "Checked-Out". Marking the appointment as checked-out shows you how long it took the staff member to service the client.
By following the steps outlined in this article, you will be able to add clients to the waitlist and view waitlist appointments on the schedule in day view.
