Color Coding Appointments

Color coding can enhance the visual appeal and organization of your appointment schedule. By color-coding appointments, the scheduler creates a customized interface for displaying them. For instance, you could use purple to identify all appointments scheduled for services in the Haircut category, making it easier to spot them at a glance. In this article, we'll explore different methods for color-coding your appointments.


Things to know: 

  • Appointments can be color-coded in three ways: by appointment status, by staff member, or by service type.
  •  MyTime utilizes a standard set of colors for this purpose and does not offer a customizable color palette. However, you can manually change the color of any appointment in the scheduler by clicking on the appointment and selecting a color from the options displayed below the service in the appointment modal.   
  • The following will take place once an appointment is marked as "Completed":
    • Appointments marked as "Completed" with payment processed will appear in light grey on the schedule.
    • Appointments marked as "Completed" but not paid will appear in dark grey on the schedule.

Configure Appointment Color Coding Setting

To set up automatic color coding for your appointments:

  1. Navigate to Business Setup > Settings
  2. Locate the "Color Code Appointments Automatically" setting below the Calendar section 
  3. A list of preferences will appear when you toggle to "YES"
    • Appointment Status: Allows you to color-code appointments based on their status
    • Staff Members: Enables you to color-code appointments according to the staff members

Color Code by Status                                                 

If the option to automatically color-code based on appointment status is selected, each status will be assigned the following colors:

 

Status Color
Confirmed

Appointments marked as "Confirmed" will appear in green on the schedule.

Booked

Appointments in the "Booked" status will appear in blue on the schedule.

Completed

Appointments marked as "Completed" but not paid will appear in dark grey on the schedule.


Appointments marked as "Completed" with payment processed will appear in light grey on the schedule.

No Show

Appointments marked as "No Show" will be displayed in red and grey on the schedule.

Check-In

Appointments in the "Check-In" status will appear in purple on the schedule.

Waiting

Waitlist appointments will display in light blue with white striped patterns on the schedule.

Pending

Pending appointments will appear in light grey and white, with the Accept and Change buttons on the Schedule.


Color Code by Staff Members

If the option to automatically color-code appointments based on staff members is selected, each staff member will be randomly assigned a color. However, you can customize the colors for each staff member directly from their profile by following these steps:

  1. Navigate to Business Setup > Staff & AvailabilityScreenshot 2024-09-13 152307.jpg
  2. Filter to the desired location

  4. Scroll to the Calendar Section on the staff member's profile
  5. Select the preferred color for the staff memberScreenshot 2024-09-13 142937.png
  6. Scroll to the bottom of the page and click "Save"
  7. The staff member's profile will now show the updated colorScreenshot 2024-09-13 143248.jpg

Color Code by Service 

If the option to automatically color-code appointments based on services is selected, each service category will be randomly assigned a color. This means that all appointments for services within the same category will share that color. However, you can customize the colors for each service from the service menu. By checking the box next to "Apply to all variations of the service," setting the color will change for all services within that category.

To color-code services, simply:

  1. Navigate to Business Setup > ServicesScreenshot 2024-09-13 144258.jpg
  2. Click on the "Edit" option for a service in the service category for which you want to change the colorScreenshot 2024-09-13 150019.jpg
  3. On the service modal, scroll to the "Calendar Color" section
  4. Select the desired color for the service
  5.   6. Scroll to the bottom of the modal and click "Save"
  7. The updated color will be visible on the Services menu for all services in the category or on the selected service.Screenshot 2024-09-13 150542.png
