The membership conversion report allows you to track appointments by non-members who ultimately converted into members. Tracking these conversions can help gauge the effectiveness of client engagement efforts and boost membership sales.
Things to Know:
- The report can be accessed from the parent or child level
- Conversions are calculated:
- Based on the number of memberships sold / number of appointments X 100
- Per client and then per staff
- From the client's last appointment date until they purchase a membership
- For appointments and memberships purchased on the same ticket
- On membership purchases made from the client's profile (including ones where payment was not taken), POS, and booking widget
- Only non-members are being considered for this report
- Clients are considered non-members 30 days after the cancellation or expiration of their membership
- Clients with multiple appointments will be reflected multiple times in the report. Eg: If Andriana has 3 appointments booked in the filtered date range, she will be reflected 3 times in the report.
- Clients with multiple appointments on the same day will also be reflected multiple times in the report however, the conversion will only be calculated on the last appointment for that day
- For clients with multiple appointments on the same day with different staff members, the conversion will be attributed to the staff member who sold the membership, based on their most recent appointment with the client.
- Membership purchases designated as in-house sales will be credited to the last staff member who had an appointment with the client
- For clients with multiple pets or family members with prior appointments:
- When a membership is purchased and assigned per pet, or family member, conversions are tracked individually. For instance, if an appointment for Pet 1 is followed by a membership purchase for Pet 1, it counts as a conversion. However, an appointment for Pet 2 will not count as a conversion unless a membership is purchased for Pet 2.
- When a membership is purchased for all pets or family members, the conversion is attributed to the last appointment, regardless of whether it was for the client, pet, or family member.
To access this report:
- Navigate to Dashboard
- Select the Reports tab
- Under the Staff section, select the Membership Conversion report
When the report loads, you can filter by location, staff, client type, conversion window, and date, along with choosing to view utilization by staff or location. By using the "By Location" button at the top of the report, you can easily compare metrics across different locations and groupings, helping you identify which locations perform better or worse on the specified dimension.
Below the By Staff/By Location button, you have the option to download the report as a CSV, PDF, or print version.
Once you have selected your filters, click on the UPDATE button to generate the desired data.
Report Filters
Filters | Description |
Child Account | This column is only displayed when viewing the report from the parent level |
Location | The location where memberships were purchased |
Staff | The name of the staff member who performed the service |
Clients | New Clients Only - Unique clients who had their first appointment during the date range selected. Existing Clients Only - Unique clients who had appointments with the business, before the start of the date range and then again during the selected date range.
If none or all is selected in the filter, the data displayed will include both new and existing clients. |
Date | This date range selected will determine the timeframe the appointments were booked |
Conversion Window | The conversion window ranges from 1, 7, 14, 30, 60, 90, and 120 days, as well as 1 year.

Report Columns
Column | Description |
Staff | The name of the staff member who performed the service or sold the membership during the date range and location selected |
Appointment # | The classifying number associated with an appointment. Clicking this link opens the appointment modal in Scheduler. |
Clients | The name of the client who booked the appointment and bought the membership. The client count only considers unique clients, even if a client has multiple appointments and is listed multiple times, they will only be counted once. |
Memberships Sold | The number of memberships sold and the membership name |
Conversion % | Number of memberships sold / number of appointments X 100 Eg: The staff had 3 appointments and sold 1 membership to 1 client, the conversion % would be 33.3% |
